The words this industry uses loosely, defined the way we use them.
- Brand activation
A brand activation is a live presence inside a room where a brand's audience is already gathering, rather than an event the brand asks that audience to attend.
In practice it is a booth or stand, brand ambassadors working the floor, a stage moment if the host allows one, and signups captured on the spot. The design starts with the audience and the run of show. The venue is found afterwards, because the venue is the cheapest part to change and the audience is the hardest.
- Demo night
A demo night is an event where a host builds and fills the room and the client takes the stage to show the product live to people who have never used it.
It works because the audience arrives for the room, not for the pitch, so attention is already in the space when the demo starts. HeyGen took the stage this way at The Founders Table on 9 September 2026. The client brings the product, one or two presenters and the offer. Everything else is production.
- Curated dinner
A curated dinner is a private event of roughly ten to fourteen seats where every guest is chosen individually and there is no stage, no programme and no pitching.
The value is the guest list, not the food. Seats are placed by application rather than sold, because who sits next to whom is the whole product. bodioagency runs this format publicly as The Table Series in Valencia and privately for clients who want a specific set of people in one room.
- Series or roadshow
A series or roadshow is three or more dates run to one repeatable format, across one city or several, and it is the format that turns an event into a channel.
One event produces a spike. Three dates produce a pattern: the same people return, the format gets sharper, and the audience starts arriving without being recruited each time. Cost per qualified conversation falls with every date because the recruitment work compounds instead of resetting.
- Community-led growth
Community-led growth is acquisition through a room, a group or a network the company owns, rather than through media it rents.
The unit of work is a relationship rather than an impression. It is slower to start than paid acquisition and it does not stop working when the budget stops, which is the trade being made. It needs an owner, a rhythm and a reason for people to come back, or it decays into a dormant group chat.
- Partnership channel
A partnership channel is a repeatable route to customers through organisations that already hold the audience, such as associations, employers, community groups, venues or complementary brands.
Each partner is a room the brand does not have to build. The work is sourcing the partners, agreeing what each side gives, and running the activation calendar that keeps the relationship producing. This is the mechanism behind the TransferGo Filipino diaspora channel.
- Show rate
Show rate is the percentage of registered people who actually attend, and for a free event it is the number that decides whether the night works.
Free registration costs nothing to give and nothing to abandon. A room planned off registrations rather than expected attendance is either half empty or oversold. Show rate is tracked per event, per source of registration, and it is the first number to look at when a room underperforms.
- Stage takeover
A stage takeover is a sponsorship format where one brand takes the full programme of an existing event instead of buying a logo placement inside it.
The host still owns the audience, the recruitment and the room. The brand owns the content of the night. It is the highest-conversion sponsorship tier because the audience associates the whole evening with one company rather than scanning a wall of logos.
- Diaspora marketing
Diaspora marketing is growth work aimed at a migrant community in its destination country, usually reached through its own associations, churches, sports leagues, embassies and cultural events rather than through mainstream media.

- Generative engine optimization (GEO)
Generative engine optimization, or GEO, is the practice of making a business accurately described and reliably cited by AI assistants such as ChatGPT, Claude, Perplexity, Gemini and Copilot when a buyer asks them for a recommendation.
It overlaps with SEO but is not the same job. Search rewards ranking a page. Generative engines reward being the clearest, most quotable and most corroborated source on a question, on the site and across the third-party pages the engine retrieves. bodioagency runs GEO as a service and applies the same system to this site.

Questions buyers ask before they hire anyone

Should we sponsor an existing event or produce our own?
Sponsor first, produce second. Sponsoring puts your brand in a full room that someone else recruited, which tests whether that audience responds to you before you spend on building a room of your own. If the sponsored night produces qualified conversations, you have evidence that a bespoke event will work and a format you have already watched succeed. If it produces nothing, you have learned that cheaply.
How far ahead do we need to plan a brand event?
Six to eight weeks is the working minimum for a demo night or a curated dinner, and the constraint is audience recruitment, not logistics. A venue can be booked in a week. Getting the right forty people to commit and then actually turn up takes a month of individual outreach, a reminder rhythm in the final ten days, and a confirmation pass in the last forty-eight hours. Activations inside an existing event follow the host's deadline, which is usually earlier.
How do you get the right people into the room?
Person by person, from an existing community and partner network, not from an ad budget. Recruitment starts with a named target list rather than a registration link, each invitation is sent by a human who can say why that specific person should come, and partners who hold parts of the audience are asked to invite their own people. The registration page is where a decision gets recorded, not where it gets made.
What does an event production fee actually cover?
Format design and run of show, venue sourcing from our partner network, audience recruitment and RSVP management, speaker and partner outreach, hosting and floor management on the night, photo direction and an edited album, and a recap page. Venue hire, food and drink, print and signage, merchandise, photography and videography, and any paid promotion are passed through at cost with no markup. One fee to us, everything else at the price the supplier charges.
How much does a brand activation or event production cost?
It is quoted per event, because the number moves with the format, the city, the size of the room and how much production the night needs. What does not move is the structure: one production fee, everything else passed through at cost with no markup. Send the audience, the city and the month and you get a format and a number back.
How do we measure whether an event worked?
Four numbers, and revenue is not one of them on the night. Show rate, the percentage of registrations that became attendance. Qualified conversations, counted by a human in the room against a definition agreed beforehand. Reachable afterwards, meaning how many attendees you can contact next month without buying access to them again. Return rate, the share who come back to date two. Revenue arrives later and through the pipeline those four numbers create.
What is a realistic show rate for a free event?
Plan on roughly half of free registrations attending, and treat anything above that as the result of recruitment work rather than luck. Free registration costs nothing to give and nothing to abandon, so a room planned against the registration count is either half empty or oversold. Individually recruited guests and people invited by a partner they know show up at a much higher rate than anyone who clicked a link.
Why do most brand events produce nothing?
Because they are designed forwards from a date instead of backwards from an outcome. A venue gets booked, a theme gets written, invitations go out, the night happens and everyone agrees it was lovely. Nothing was defined as a qualified conversation, nobody was assigned to have those conversations, and no mechanism existed to reach anyone afterwards. The event was produced. A channel was not.
When does an event become a growth channel?
At date three, when the audience starts returning without being recruited from scratch. One event is a spike. Two is a repeat. Three to a consistent format is a pattern people can plan around, and that is the point where the recruitment cost per qualified conversation starts falling instead of resetting. A channel is an event you can run again with a shorter list of people to convince.
How big should the room be?
Small enough that the people you actually want can be spoken to during the evening. For a demo night that is usually forty to a hundred and twenty, for a curated dinner ten to fourteen. Two hosts can hold roughly forty real conversations in one night, so a room of three hundred does not produce seven times the pipeline of a room of forty. It produces the same pipeline and a bigger invoice.
Do we need a venue before we start?
No, and choosing one first is the most common expensive mistake. The audience and the run of show decide what the space has to do: how many people, whether there is a stage, whether food is served seated or standing, whether a demo needs a screen and reliable wifi. Sourcing the venue against those requirements takes days from a partner network. Redesigning a night around a room that was booked early takes weeks.
What does a client need to bring to a demo night?
A product worth watching, one or two people who can present it live, and an offer for the room. That is the client's half. The format, the audience, the recruitment, the venue, the run of show, the hosting and the follow-up material are production work. Clients who try to bring the audience as well usually bring their existing customers, which turns a growth event into a customer event.
Can events replace paid acquisition?
For some businesses yes, and for most they change what paid spend is for. Events produce fewer, warmer, more expensive contacts than advertising, and they keep producing after the spend stops because the relationships and the channel remain. The realistic model is events and community for the relationships that convert and retain, with paid used to fill specific gaps rather than to carry the whole funnel.
How do you keep people after the event?
By deciding before the night where the audience goes next and building that in. A recap page with photos everyone wants, a community channel worth staying in, and a named next date announced while the room is still in it. Contact details collected with no destination decay within a fortnight. The follow-up is part of the format, not an afterthought that gets done if there is time.
