30 minutes Beginner friendly Works with any AI tool
Section 1 / What You'll Get

For anyone with a job

Office, admin, serving customers, shift work, or running your own thing. Here is what this module gives you.

1

Quick wins

Get help with the work tasks you redo every week: emails, notes, lists, and first drafts.

2

Ready prompts

Copy and paste lines you can use right now. Just fill in the brackets, no setup and no hard words.

3

Safe habits

Simple rules so you stay in charge and keep work data safe.

Section 2 / Start Here

Pick a free tool

You only need one to begin. All of these have a free version.

1

ChatGPT

chat.openai.com. The all rounder for everyday writing and ideas.

2

Claude

claude.ai. Great for long documents and clear writing.

3

Google Gemini

gemini.google.com. Handy if you use Gmail and Google Docs.

4

Microsoft Copilot

copilot.microsoft.com. Useful if you work in Word, Excel, and Outlook.

5

Perplexity

perplexity.ai. Best when you need answers with links to the source.

One rule first: do not paste private or company secrets. Swap real details for fake ones like "Client X."
Section 3 / The Plain Truth

Why this works

AI is fastest at the boring, repeating parts of work: emails, notes, summaries, lists, and first drafts. It gives you a starting point in seconds, so you are editing instead of staring at a blank screen.

Think of it like a quick assistant who never gets tired. You still check the work and make the final call.

What most people get wrong: they wait for a big task to try AI. The real wins are the small jobs you do every day.
Section 4 / Common Work Tasks

Ten everyday jobs AI can speed up

Fill in the brackets and send.

1

Reply to an email

"Help me reply to this email. I want to say thanks and let them know I will send the report by Friday. Keep it short and friendly. Here is the email: [paste email]."

2

Sum up a long email or document

"Sum this up in 3 short bullet points and tell me if there is anything I need to do: [paste text]."

3

Tidy up messy meeting notes

"Here are my rough notes from a meeting. Make them neat with a short summary and a list of who does what: [paste notes]."

4

Decide what to do first

"Here is my to-do list for today: [paste list]. Help me decide what to do first and tell me if anything can wait."

5

Make a message clearer

"Make this sound clearer and more polite, but keep it short: [paste text]."

6

Write a quick update for your boss

"Write a short update for my manager about [project name]. Say what is done, what is next, and anything I am waiting on. Keep it under 100 words."

7

Get help with a spreadsheet

"In Google Sheets, how do I add up only the rows where the status says Paid? Give me the formula and explain it in plain words."

8

Start a set of slides

"Give me a simple outline for a 5 slide talk about [topic]. One title and 2 or 3 short points per slide."

9

Do quick research

"Explain [topic] in simple words. Give me the main points and 2 things I should double check before I rely on it."

10

Get ready for a meeting

"I have a meeting about [topic] with my manager. Give me 4 good questions to ask and 3 things to prepare."

Save your winners: start a note called "My Work Prompts" and save the ones that work. In a month you will have your own toolkit. And talk back to it: when an answer is not quite right, just ask for "shorter," "more formal," or "add a clear next step."
Section 5 / Try It Now

Hands on, under 10 minutes

Use any free tool from the Start Here section.

1Open one free tool and start a new chat.
2Pick the email or the sum up prompt and paste in something real, with private details swapped out.
3Change the words in [brackets] to fit your task.
4Read the answer, then ask for one change: "make it shorter" or "more formal."
What to notice: how much time you save compared with writing it from scratch.
Section 6 / Always Remember

The work rules

These matter every time you use AI on the job.

1Protect work data. Do not paste passwords, client details, or anything private. Use fake names.
2Check before you send. AI can sound sure and still be wrong. Double check facts, numbers, names, and dates.
3You own what goes out. Your name is on it, not the tool's. Read every word first.
4Follow your workplace rules. Some jobs limit AI use. When unsure, ask before using it for work.
5AI is a first draft, not the final word. Your judgment makes the call, not the tool.
6Stop for big stuff. For legal, money, HR, or anything with real consequences, confirm with a real person.
When in doubt: slow down and ask a person.
Section 7 / Which Tool Should I Use

They overlap, so you cannot go wrong

Start with any one of these. You can always try another later.

1

ChatGPT

Everyday writing, emails, ideas, and explaining things.

2

Claude

Long documents and clear, natural writing.

3

Gemini

Best if you live in Gmail, Docs, and Sheets.

4

Copilot

Best if you work in Word, Excel, Outlook, and Teams.

5

Perplexity

Research. It shows links to where the answer came from, so you can check it.

Section 8 / More Free Tools

Tools for everyday work

All of these have a free version.

1

Grammarly

grammarly.com. Checks spelling, grammar, and tone as you type. Clean up an email before you send it.

2

Canva Magic Write

canva.com. Free design tool with a writing helper. Make a flyer or slide and let it write the words.

3

Otter.ai

otter.ai. Records a meeting and writes out what was said, with a summary. No more frantic notes.

4

Translate / DeepL

Translate a message or document. DeepL often sounds more natural for full sentences.

5

Copilot in Edge

The free Copilot button in the Edge browser sums up a web page or PDF you have open.

6

Phone apps

ChatGPT, Claude, Gemini, and Copilot all have free apps. Snap a photo of a document and ask a question.
